How to write a Request for Quotation (RFQ)

While writing an official RFQ, most of the companies adopt a standard simple format, rather using a complex format, so that an RFQ becomes easy to understand. An RFQ should be simple but it should be concise and written carefully and professionally. Normally, an RFQ is written in the following way:

  • Firstly, intimate the recipients that the bids are being accepted and then mention the products you require, the goals that you want to achieve, the date of your deadline and any other necessary information.
  • Mention the expertise and qualifications that you require from the suppliers so that you receive qualified replies only. 
  • Mention the final date for submissions of quotation from suppliers, along with any other required information.
  • It is considered a very good practice to mention your requirements in the form of a list, for better and easy understanding.
  • Include and provide a pricing table for the suppliers so that they can fill it with details of costs per item, in addition to the total costs. So, it will make the comparisons with other suppliers more easy.
  • After that, mention the complete details of the products you require including the number of products you want, specifications, accessories and quality assurance etc. It will be better if you mention more details and be more specific.

Response to an RFQ by a Supplier

As a supplier, you should respond to an RFQ in any of the following two ways:

  1. You are asked to fill a form attached to the RFQ sent by the company. In this case, you will just complete the form and the process is apparent.  OR
  2. You are required to prepare a quotation to be sent to the company in respond to the RFQ. In this case, you will just have to prepare a simple quotation.

  • An explanation of the experience, values, competency and capabilities of your company.
