After writing the draft, look for the mistakes in it with respect to structure, content and grammatical mistakes etc. Carefully analyze what you are writing and what you want to communicate to your new employer. As this is a new job opportunity, so it should be your utmost try to give a good impression of yourself.

Before finalizing the draft of your job acceptance letter, you should ensure that your letter looks like a proper formal and professional business letter, not just a piece of paper. This means that the document should include proper contact details, greetings, proper body, other necessary information and signature portions so to make it a proper business letter. Whether you wrote and sent the letter by email or traditional mail, the style of writing to be used in both the cases should be formal.

Job Acceptance Letter Format Types

For a job acceptance letter, three types of business letter formats are commonly used. The main difference between these formats is the type of layout that you use. These three letter formats are mentioned below:

  • Block Style Letter:

It is a traditional letter writing style in which all the content and body of the letter is aligned with the left margin. The right margin remains empty. This is the simplest format of writing a job acceptance letter or email.

  • Modified Block Style Letter:

This style of writing is modified in the way that both the heading at the top of the letter which contains contact details of the writer and the signature line, are aligned with the right margin. Every other thing of the letter remains the same as in the traditional block style letter i.e, aligned with the left margin.

  • Semi Block Style Letter:

In this format, the body of the letter is as same as in modified block style letter. The main difference in this style of letter writing is that each paragraph of the letter is indented i.e, separated with a distance.

Elements of a Formal Job Acceptance Letter

As mentioned earlier, a job acceptance letter should be written as a formal business letter in order to make it more effective and professional. This document should not be longer than a page. Following are the necessary elements that you should include while writing a job acceptance letter manually:

1. Contact Information

All of your contact details should appear at the top of the document in a conspicuous way. These contact details should include you full name, your address, contact number and email address.

2. Date

You should not forget to mention the date on which you are writing the letter. If you are writing a paper letter, mention the date just below your contact information. If you are writing the letter as email, mention the date in the body of the email.

3. Include Subject

Mention the subject of the letter just below the date by using the abbreviation RE:            In case of job acceptance letter, the subject would normally be the words “Job Acceptance” or “In appreciation of the Job Offer”.

4. Details of Addressee

Your letter should be addressed to the person who is hiring you. Mention his full name and any necessary title according to his rank or level, in order to maintain professionalism.

5. Address of the Employer/Entity/Business

The address of the employer should be mentioned below the name and job title of the addressee. This address should include inside address i.e, property number, street name, city, state and zip code of business.

6. Include proper Greeting

Every formal business letter or email mostly starts with a greeting. It is better to address the person directly instead of using the phrase “to whom it may concern” as it doesn’t seem professional. So, begin the letter by using the word “Dear” following by the name of addressee. You can also use necessary salutations like “Mr.”, “Mrs.”, or “Miss” etc, as required.

7. Body

This is the main content of the letter that includes the aspects of your job acceptance. Begin the letter by firstly thanking the person who is hiring you. Express your gratitude to the person by mentioning the name of the offered job title. Make him realize that you are genuinely happy to accept the job offer. Also make him sure that you understood and acknowledged every detail and information regarding the salary and other benefits, if there are any.

8. Finishing the Content

Make sure to express your gratitude once again, and don’t forget to mention your eagerness and willingness to become a part of the organization and to contribute in its progress and development.

9. Ending the letter

After wrapping up the content of the letter, end the letter by writing the word ‘sincerely’ or any other suitable professional alternate. You can use following words or phrases here:

  • Kind regards
  • Best regards
  • Respectfully
  • Yours sincerely
  • Sincerely yours
  • Yours truly
  • Truly yours
  • With thanks

10. Signature

Your name appears at the end of the letter but before signature line. The signature line is included two lines below the body of the letter.
